A mock-up is most useful when the team can reproduce what was approved. Record the actual face material, dimensions, lighting arrangement, controls and viewing conditions alongside the photographs. Note any settings that changed during review and retain the approved configuration for production and future maintenance.
Use the record to separate observations from measurements. Identify the method and conditions for every measured result. An approval image helps communicate appearance, but it should be read together with the test record and the agreed acceptance criteria.
Blank approval record
This is a blank template, not completed project evidence. It has five sections: project and sign reference, sample description, materials and finishes, review comments, and approval signatures with date.

Related guides: LED signage quality guide, CCT and brightness controls and signage vendor checklist. Completed, anonymised records will be added when approved examples are available.
What to approve on a signage sample
A sample approval should identify what has actually been reviewed. Record the sample reference and drawing revision, then note the material, finish, edge quality, visible joints and artwork. For illuminated samples, describe the viewing conditions and the lighting components or control settings used.
Agree which aspects the sample represents and which require a full-size mock-up or separate technical check. A finish coupon does not confirm the complete installed sign.
Keep approval comments and photographs with the record so production can work from the same reference. Use the record on this page to organise the decision and highlight any remaining questions.
From our workshop

What the acceptance record should capture
A mock-up acceptance record is useful only if production can work from it. Capture the same fields for every sample so decisions and open questions are clear.
- Sample ID and drawing revision
- Materials, finishes and lighting components used
- Viewing conditions: day, night, distance and surrounding light
- Approver name, role and date
- Outstanding changes before production
